Reserve a Classroom Space

Reserve a classroom space in Art & Design or Flagg Hall

How to Reserve a Classroom - 1

You can reserve classroom spaces in Art & Design and Flagg Hall by using the Checkout Window online reservation system.

Go to https://go.illinois.edu/artReservation  (you will be asked to log in with your netID and password)

Select Checkout Window 236

In the Select Type box, select Rooms and Spaces, then Reservable by Instructors

The classrooms are broken out into four categories:

  • A+D Classrooms Instructor Keys – classrooms in the Art + Design Building that require keys for entry. If you reserve one of these rooms, you will need to pick up the key for the room at the Checkout Window at the time of your reservation and return it afterward.
  • Cardswipe Classrooms – classrooms in Art + Design and Flagg Hall that have cardswipe access. If you reserve one of these rooms, your i-Card will swipe you in, you do not need to pickup/return keys at the Checkout Window at the time of your reservation.
  • Cardswipe Computer Classrooms – the computer labs on the second floor of Art + Design. If you reserve one of these rooms, your i-Card will swipe you in, you do not need to pickup/return keys at the Checkout Window at the time of your reservation.
  • Flagg Classroom Instructor Keys  – classrooms in Flagg Hall that require keys for entry. If you reserve one of these rooms, you will need to pick up the key for the room at the Checkout Window at the time of your reservation and return it afterward.

How to Reserve a Classroom - 2

After selecting your room category you will see a brief description of each of the rooms in the category including information about the AV, room amenities, and capacity.

If you click the clock icon next to the header, you can see a side-scrolling calendar of availability of all the rooms in this category. Blue blocks indicate that the room is reserved by a class or someone else. You can also view a photo of each room by clicking the paperclip icon next to the room number and opening the attached image.

How to Reserve a Classroom - 3

Once you have decided on which room you want to reserve, click the Add button for that room.

Cick on the cart icon in the upper right and click “Create Reservation”.

Select the date and time for your reservation (note, the system will only allow you to reserve the room during the Checkout Window open hours, if you need a room reserved outside of that time, please fill out the Checkout Window Support form at https://go.illinois.edu/artSupport)

Check that you agree to the Checkout Window terms (note: these are written for students checking out equipment from the Window).

If there are any conflicts or errors in your reservation, they will show up at the bottom of the window. Adjust your reservation times or classroom selection until you do not have any errors.

Click Submit Reservation.

You will receive an email confirmation with the times of your reservation. (Note, the wording of this email is written for students who have to pick up equipment at the Checkout Window, if you have reserved a cardswipe room, you do not need to pick anything up at the Checkout Window even if the email indicates that you should).

To view or edit existing reservations in the system, click the hamburger menu in the upper left and select “My Account”.

In the My Reservations box, you can see all of your future reservations for equipment and rooms and you can edit or cancel them. Below, you can see the history of your previous reservations and any equipment or spaces that you currently have checked out.
